Project overview

A multi-path Zapier workflow uses Asana task updates to coordinate stage-specific CRM actions. The screenshot exposes five distinct branches rather than a single generic follow-up sequence.

Business problem

Lead stages call for different operational actions: setting up folders and tasks, checking follow-ups, welcoming an approved lead and preparing a post-close message.

Automation solution

Use an Asana Updated Task trigger and Paths by Zapier to separate Ready to Start, No Response, Quoted, Approved and Paid and Closed processing.

Five-stage CRM workflow configuration. Branch actions are visible; enabled editor state alone does not prove successful execution or email delivery.

Workflow architecture

Trigger & input

Asana Updated Task is the visible trigger. It feeds Paths by Zapier Split into paths; the task project, fields and exact polling configuration are not exposed.

Processing & output

  1. Ready to Start: Path conditions → Google Drive Create Folder → Asana Create Subtask.
  2. No Response: Path conditions → Gmail SEND FOLLOW UP EMAIL → Delay For → Gmail Find Email → Filter conditions → a second follow-up email action.
  3. Quoted: Path conditions → Gmail Send Follow up Quote Email → Delay For → Gmail Find Email → Filter conditions → a second follow-up email action.
  4. Approved: Path conditions → Google Drive Find a File → AI by Zapier step labeled “Personalized welcome,…” → Gmail Send Welcome Email.
  5. Paid and Closed: Path conditions → AI by Zapier step labeled “Generate service maintenance…” → Gmail Send Email. The complete AI action label and prompt are not visible.

Conditional logic

The five visible paths are Ready to Start, No Response, Quoted, Approved, and Paid and Closed. No Response and Quoted include delay, email lookup and filtering before a second message. The filter expressions do not establish whether a real reply suppresses a follow-up.

Key features

  • Five stage-specific CRM branches
  • Folder and subtask setup for new work
  • Delayed second follow-ups with lookup/filter gates
  • AI-assisted welcome message path
  • Post-close AI-message and email path

Technical challenges

The canvas shows substantial branching and repeated follow-up logic. Delay values, email-search criteria, reply-detection filters, state-change behavior and duplicate protection remain hidden. No documented defect-and-resolution history was supplied; these are configuration and verification concerns.

Business value

Intended to make stage-specific lead handling more organized across Asana, Drive and Gmail. No conversion uplift, response-rate gain or customer outcome is verified.

Testing & limitations

Configuration shown

The screenshot shows a configured multi-path Zap and an enabled-looking editor toggle. It does not show task history or message-delivery results, so full execution, safe follow-up behavior and production deployment remain unverified.

Source: Kyle’s original workflow screenshot and project brief. The visible canvas has been reviewed; exported configuration, output contents and production run history have not been independently verified.

Limitations & next steps

What needs verification: resolve these open questions before treating this design as a verified implementation.

  • Asana stage fields and exact path expressions
  • Delay values, email lookup rules and suppression filters
  • Complete AI labels, prompts and message approval rules
  • Task history, branch coverage and real delivery evidence
